Edgar L. Rhodes Center for Animal and Dairy Science
The large building on College Station Road housing the department of animal and dairy science, plus associated labs and facilities. Second reference: Rhodes Center.

Second reference for Enterprise Information Technology Services.

e-mail
If at all possible, use a contrasting typeface (such as italics) to distinguish between an e-mail address and the rest of the sentence. Never allow an e-mail address to break over two lines with a hyphen; break if necessary using a required soft return following a slash or other mark of punctuation that is part of the address.

emeritus, emerita, emeriti
The title of “emeritus” is not synonymous with “retired”; it is an honor bestowed on a small number of retired faculty and should be included in the title. Feminine “emerita”; plural for both “emeriti.” The word may precede or follow “professor”: John Doe is an emeritus professor of art. Jane Doe, professor emerita at UGA.

Engineering, Institute of the Faculty of
Full, formal name of the interdisciplinary research, teaching and outreach program; may be referred to as the Faculty of Engineering in all but the most formal settings. Members all hold academic appointments in a regular university department. Capitalization of the unit is always required for clarity, but the subject matter is engineering.

Enterprise Information Technology Services
EITS is responsible for operation and support of UGA’s major shared institutional computing and data communications facilities. The information technology community uses “enterprise” as an adjective to refer to an entire institution or organization, as opposed to one constituent unit. Thus the office whose mission is “enterprise” IT services is responsible for the whole university, rather than IT services within one college, school or department. Second reference EITS.

Environmental Design, School of
The school has joined with the Institute of Ecology to form the College of Environment and Design. The School of Environmental Design (and its constituent departments) continues as a unit within the college. See the entry on colleges and schools.

Founders’ Day
Jan. 27, although the celebration at UGA is sometimes scheduled for a nearby and more convenient day. Commemorates the Georgia General Assembly’s approval of UGA’s charter on Jan. 27, 1785, in Savannah, creating the first state-chartered university in the U.S.

Note that the apostrophe follows the “s,” not the “r,” since UGA has more than one founder.

Founders Garden House
Located in the Founders Memorial Garden on Lumpkin Street, the house served as the headquarters for the Garden Club of Georgia until the new building opened at the State Botanical Garden in 1999. The relevant “founders” had founded the Garden Club of Georgia, not UGA. No apostrophe.

Located at the corner of Broad and Thomas streets downtown.

fraternities, sororities
The full, formal name should be used on first reference: Tau Kappa Epsilon. Abbreviations are acceptable on second reference, but avoid nicknames such as Tri-Delts. A member is a member, never a brother or sister. In reference to a fraternity’s or sorority’s building, the word “house” should be capitalized when it follows the name of the organization: Tau Kappa Epsilon House; fraternity house.

Fred C. Davison Life Sciences Complex
The full, formal name of the life sciences building that opened in 1991; in 2004 it was named for the late President Emeritus Fred C. Davison. Davison Life Sciences Complex is sufficient on first reference. Second reference: Davison Complex.

The headquarters of the state organization, located at the State Botanical Garden of Georgia.

Gates Cambridge Scholar
The first class of Gates Cambridge Scholars, announced in 2001, included a UGA student. In 2002, UGA had two Gates Scholars.

Georgia

Georgia Center for Continuing Education Conference Center and Hotel
Second reference Georgia Center; for off-campus audiences first reference is University of Georgia Center for Continuing Education Conference Center and Hotel. Do not use ampersand in text.

Georgia Children’s Book Awards
Administered by the language education department since 1977, the program includes two annual awards: the Georgia Children’s Picture Storybook Award, selected by children in kindergarten through third grade, and the Georgia Children’s Book Award, selected by fourth through sixth graders.

Georgia Club
Privately owned golf and tennis complex for members of the UGA Alumni Association; the Georgia Club is located off Highway 316. Do not confuse the Georgia Club with the UGA Alumni Club and Business Center, which is in Atlanta.

Georgia Experiment Station
One of the agricultural experiment stations operated by the College of Agricultural and Environmental Sciences; it is located in Griffin.

Georgia General Assembly
Formal name of the state’s legislative body. On second reference, capitalize General Assembly. However, “Georgia legislature” is lower case.

Georgia Hall
The large meeting room on the bottom floor of the Tate Student Center. Always specify “Georgia Hall of the Tate Student Center” on first reference for external audiences.

Georgia Magazine
Quarterly magazine (www.uga.edu/gm) published by the Office of Publications for alumni and friends of the university. Italicize or enclose in quotation marks according to the style of the publication in which its name appears.

Georgia Museum of Art
Both the institution and the building on East Campus. Second reference: Museum of Art or museum. Do not use Georgia Art Museum or University of Georgia Museum of Art; when it is necessary to indicate the museum’s location at the university, use “the Georgia Museum of Art at the University of Georgia.” Note that the museum presents exhibitions, not exhibits.

Georgia Museum of Natural History
Officially the State of Georgia Museum of Natural History, which should be used on first reference for off-campus audiences. Second reference natural history museum or GMNH.

Georgia Research Alliance
GRA on second reference.

Georgia Research Alliance Eminent Scholar
A chaired professorship supported by the Georgia Research Alliance and thus, like other chairs, capped. A GRA Eminent Scholar in field X is also a professor of X.

Many GRA professorships include the name of a donor in the full title: the Susan B. Doe-Georgia Research Alliance Eminent Scholar in Anonymity.

Georgia Review
Italicize or enclose in quotation marks, according to the style of the publication in which the name is appearing (italicize in Columns). Second reference: the Review.

Also called Globis, although the full name should be used on first reference.

Globis
The Center for the Study of Global Issues; the abbreviation is not an acronym, so do not use all caps in text. Globis is an official version of the center’s name, but must always be explained on first reference.

GMNH
Acceptable on second reference for the State of Georgia Museum of Natural History.

Government, Carl Vinson Institute of
Vinson Institute of Government is acceptable. Second reference: Institute of Government or Vinson Institute.

GPA
Second reference for grade point average.

GRA
Second reference for the Georgia Research Alliance.

grade point average
Spell out on first reference; GPA (no periods) is acceptable on second reference. Federal law prohibits the listing of a student’s grade point average in a story, except with the explicit written permission of the student (not the student’s parents).

graduate, graduation
At UGA, students who graduate do so at Commencement, not at graduation. UGA does not have a graduation ceremony.

Note that the verb “graduate” applies only to bachelor’s (undergraduate) degrees. A successful graduate student earns or receives a degree, but does not graduate.

An institution graduates scholars, but a student graduates from an institution. Do not write “He graduated UGA” but instead “He graduated from UGA.”

Gwinnett University Center
The name previously used to describe the campus off Ga. 316 at Collins
Hill Road in Lawrenceville, where the University of Georgia in 2002
began delivering undergraduate and graduate degree programs, as well as
continuing education offerings. In 2005, the Georgia General Assembly
approved creation of a new four-year institution, Georgia Gwinnett
College, which now occupies this site as the 35th institution in the
University System of Georgia.

Consequently, UGA is no longer accepting students into its
undergraduate programs in Gwinnett, which will be phased out by spring
semester 2008. However, UGA's graduate and continuing education
programs in Gwinnett are expected to grow.

Hispanic
According to AP, this is the preferred term for those whose ethnic origin is in a Spanish-speaking country. Latino (the feminine form is Latina) is acceptable for people whose ethnic origin is in a Latin America country.

When possible, use a more specific identification such as Cuban, Puerto Rican or Mexican-American. Refer to people of Brazilian and Portuguese origin as such, not as Hispanic.

Hodgson Hall
Formally Hugh Hodgson Concert Hall; Hodgson Hall is sufficient in all but the most formal situations. Pronounced HOD-son.

Located at 286 Oconee Street, it houses the UGA Police Department, the Office of Security and Emergency Preparedness, the Office of Real Estate and Space Management and some departments of public affairs; pronounced HOD-son.

Acceptable on first reference for the Hugh Hodgson School of Music, the academic unit in the College of Arts and Sciences. Second reference: music school. The building is the Hugh Hodgson School of Music. Second reference: music building. Pronounced HOD-son.

Named in 2001 in honor of the first two African-American students at UGA, Hamilton Holmes and Charlayne Hunter (now Hunter-Gault). Holmes-Hunter Building on second reference.

Honor Roll of Donors
The style rules listed below are those used by public affairs. Other units producing an honor roll may prefer to adopt their own style.

· Follow the name preferences of those listed, but not at the cost of consistency or recognized editorial practice. It is not necessary, for example, to list a business name in all caps even if the business always lists itself that way (unless it is an acronym or is so listed in Standard and Poor’s Register of Corporations).

· Omit courtesy titles (Mr., Mrs., Miss, Ms.) except where a woman has asked to be listed by her husband’s name: John Donor, Joan Donor, Mr. and Mrs. John Donor, Mrs. John Donor.

· Professional, military and religious titles may be included when requested; abbreviate if possible: Dr. John Donor, Sgt. Jane Donor. See the AP Stylebook for guidance on abbreviating military titles.

· Do not use job titles such as dean, president or director.

· Do not include degrees unless everyone’s degrees are listed.

· Ampersands, Co. and Inc. are acceptable abbreviations.

· Alphabetize by last name according to one of the standard methods (see the Chicago Manual of Stylefor guidelines).

· Alphabetize estates under the donor’s name.

· Alphabetize businesses according to standard use for that business, to the extent that it can be determined: J.L. Donor & Co. under “donor” if it is usually referred to as Donor and Co., under “J” if it is usually referred to as J.L. Donor.

· Begin the list with anonymous gifts (with the number of such gifts listed in parentheses); do not alphabetize them: Anonymous (15).

Honors Program
Upper case, including “Honors classes” and “Honors students.”

HOPE Scholarship
A recipient is a HOPE Scholar. Students “earn” or “win” HOPE Scholarships for a given year. However, when students fail to maintain the necessary grades to earn the scholarship in a succeeding year, they do not “lose” their scholarship—they simply don’t win it again. The acronym stands for “Helping Outstanding Pupils Educationally.”

Institute on Human Development and Disability

institutes
Upper case on first and formal references. See capitalization. Note that some institutes are in fact academic departments within a school or college, while most are multidisciplinary or independent of departmental affiliation. Second reference terminology is suggested here only when it differs from “the institute.” Be wary of acronyms that are regularly used within a given unit but unfamiliar to wider audiences.

Institutes and centers must be approved by the board of regents and University Council. They differ in focus. A center provides an organizational base for research and a structure for extramural funding; a center is not an autonomous structure and is not involved in independently offering credit courses or degree programs. An institute shares a center’s focus but has a more formalized structure, may be an autonomous unit, and offers credit courses and possibly degree programs.

Institutes and centers are listed in this style guide alphabetically under the substantive element in the name (Higher Education, Institute of) with duplication under the term “institute” or “center” where it was deemed useful.

Institutional Diversity
Use the Office of Institutional Diversity on first reference.

Institutional Effectiveness
The Office of Institutional Effectiveness is responsible for developing and integrating strategic planning throughout the university, coordinating institutional evaluation and assessment activities, and implementing strategies for institutional improvement. The Office of Institutional Research is part of the Office of Institutional Effectiveness.

Institutional Research
Officially, the Office of Institutional Research, which should be used on first reference. Do not use the now out-of-date abbreviation IRP (the unit was for many years called Institutional Research and Planning).

Instructional and Information Technology, Office of
A unit of the University System of Georgia, the office located in the University Parkway office park on Ga. 316 at the Athens Perimeter. Second reference OIIT.
